Department printer setup for non-University computers

This article is for Faculty or Staff members who wish to print to department printers from their personal computers which are not bound to our Active Directory domain (Windows) or managed by the JAMF self-service portal (MacOS). 

This document covers printers & copiers managed by the Forest Grove and Hillsboro print servers.  This does not apply to campus locations (Woodburn, Eugene, MFA in Writing office) that do not use a central print server. 

For instructions on how to set up printing to the public copiers (aka "Pharos"), please see the relevant KB (Pharos Setup for Windows, Pharos Setup for MacOS).

Prerequisite:

  1. Before starting the setup, you will need to know the following
    1. The name of the print queue for that printer (ex. Dept-FG-Printer)
    2. The campus the printer is on. This determines the print server it is managed by (fg-print.ad.pacificu.edu for Forest Grove or hills-print.pacificu.edu for Hillsboro).
    3. The make and model of the printer you will be setting up.
  2. Find, download and install the drivers for the printer you will be setting up. (These are often available on the printer manufactures website)

 Once you've done that, you are ready to install the printer. Follow the steps below depending on whether your computer is a Mac or PC

Mac Installation Instructions:

  1. Go to System Preferences and select "Printer & Scanners"
  2. Click on the "+" to add a printer.
  3. At the toolbar at the top of the window, select IP.
  4. Fill in the following options:
  5. Address will be the print server's full DNS name (fg-print.ad.pacificu.edu or hills-print.ad.pacificu.edu)
  6. Protocol will be "Line Printer Daemon - LPD"
  7. Queue will be the print queue name for that printer (ex. DEPT-FG-Printer)
  8. Name & Location fields can be filled in with identifying information for that device.
  9. Use: Pick the "Select Software..." option from the popup menu. In the search box, find the correct driver for the printer/copier you are using (LaserJet M601, Canon iR-Adv C3550, etc.)
  10. Click Add.
  11. You may be prompted for additional options (finisher type, duplex, etc.) before setup is complete.

Windows Installation Instructions:

Before adding the printer/copier, you'll need to enable "LPD printing".

  1. Click the Windows button, then type “control panel”.
  2. Click "Control Panel" to open it.
  3. Click “Programs”
  4. Click “Turn Windows Features on or off”
  5. Click the + icon next to "Print and Document Services" to expand it - Verify that both "LPD Print Service" and "LPR Port Monitor" are checked. If they are not, check both of them now.

Now that LPD is enabled, you can add the printer/copier.

  1. Click the Windows button, then type "printers & scanners"                                                                                                                                                                         
  2. Click "Printers and Scanners" to open it
  3. ​​​​​​Next to "Add a printer or scanner" click "Add deviceUploaded Image (Thumbnail)

  5. Select "Add a printer using a IP address or hostname"    Uploaded Image (Thumbnail)
  6. Replicate the following settings
    1. Device type: TCP/IP Device
    2. Hostname or IP address: fg-print.ad.pacificu.edu (Forest Grove campus) OR hills-print.ad.pacificu.edu (Hillsboro campus)
    3. Port name: put the name of the print queue you are trying to connect to
    4. Check "Query the printer and automatically...."Uploaded Image (Thumbnail)
