Background

Outlook for Windows users using Google Workspace Sync may get a message as follows telling them that they have reached the limit of data that will transfer from Google to Outlook.  The solution as shown in this article is to go into the Google Workspace Sync settings and tell it to transfer more data.

Procedure

"The Mailbox Full Message" That User May Get in Their Inbox:

Dear Google Workspace Sync for Microsoft Outlook® user,

Your local mailbox is now full. You'll continue to receive new mail, but to see older messages you'll need to sign in to your Gmail account in a web browser. To store more mail locally, you can increase your local mailbox size. Just click the Google Workspace Sync icon in the Windows system tray and choose "Set mailbox size limit..." Solution

When you use Google Workspace Sync for Microsoft Outlook (GWSMO), your mail is stored both remotely in the cloud, and locally in a PST mailbox file on your computer. The cloud can hold multiple gigabytes of mail which is much more than you'd typically want to keep on your computer. The amount of mail stored locally is instead limited by Microsoft Outlook's mailbox size.

If you run out of space locally, older mail is removed from your computer and replaced with newer messages. All messages remain available in your Gmail account on the web. Most people do fine with a local limit of 1 GB. But to store more mail locally, you can choose a larger mailbox size.

  1. Click Google Workspace Sync for Microsoft Outlook in your Microsoft Windows taskbar notification area.
  2. Choose Set mailbox size limit.
  3. Select a mailbox size from the dialog that opens. Your size options are 1 GB, 2 GB, 4 GB, or Unlimited. Note that depending on your computer, a larger size might degrade performance when searching and indexing.

 

Searching Stored Emails in Outlook and Gmail

You can only search locally stored emails in Outlook. If your Gmail inbox size exceeds your local Outlook mailbox size, emails excluded from your local mailbox do not appear in Outlook search results. You can still search for these emails using the Gmail web interface.
