Box Hubs: Create and Share Knowledge using Box Hubs

Tags Box boxhub

Box Hubs allows you to organize and share related Box files, folders, links, and resources in a single, easy-to-navigate workspace. Instead of sending multiple individual links or folders, a Hub provides one centralized location where faculty, staff, and collaborators can quickly find the information they need.

Common uses include:

  • Department documentation
  • Project documentation
  • Training materials
  • Committee resources
  • Student resources
  • Policies and procedures
  • Event information
  • Research collaboration

Box Hubs Access

For now, UIS is only giving access to create Box Hubs on a per-request basis so that we can make sure users are informed about risks associated with the tool.  Request access here.

Box Hubs Risks

Sharing a Hub automatically shares all of the content that has been included in that hub to those same users/populations. The way it does this is not intuitive to people who are used to Box’s other interfaces, and so Box Hubs access carries with it a significant risk of Box Hubs creators/editors accidentally sharing content with people that were not meant to see that content.

Create a Box Hub

  1. Sign in to Box.
  2. Click Create New and select Hub (if available).
  3. Enter a title and description.
  4. Add files, folders, or web links.
  5. Organize content into sections.
  6. Share the Hub with your intended audience.

Note: Editors of a Hub must have permission to access the files or folders included in the Hub.

Best Practices

  • Group related content in one Hub.
  • Use clear titles and section names.
  • Keep information up to date.
  • Remove outdated resources.
  • Share the Hub link instead of multiple individual file links.
