How to Find University Employee & Student Contacts in Google Workspace

Purpose: This article describes how to look up email addresses and phone numbers for university employees and students using the integrated Directory feature within your Google Workspace account.

 

Overview

Your university's directory information is accessible directly within your Google Workspace account (including Gmail and Google Contacts). This allows you to quickly find contact details like email addresses and phone numbers for colleagues and students, provided that information is listed in the official university directory.

Here are the two primary ways to access this information:

 

Procedure 1: Using the Contacts Panel within Gmail

1. Open Gmail: Log in to your university Gmail account (https://mail.google.com/).

2. Access Contacts: Look for the Contacts icon in the right-hand side panel. (It often looks like a person's silhouette inside a square). If you don't see the side panel, look for a small arrow < at the bottom right to expand it.

• Alternatively: Click the Google Apps menu (the "waffle" icon - 9 dots) in the top right corner and select Contacts. This will open the full Contacts application (see Method 2).

3. Search: Click inside the Search bar that appears at the top of the Contacts panel or page.

4. Enter Name/Email: Start typing the name or email address of the person you are looking for.

5. View Directory Results: As you type, suggestions will appear. Look for results listed under the "Directory" heading. These are contacts from the university's official listing.

6. See Details: Click on the desired contact from the Directory results to view their available details, typically including their university email address and phone number (if available in the directory).

 

Procedure 2: Using the Google Contacts Web Page

1. Navigate to Google Contacts: Open a web browser and go to https://contacts.google.com/.

2. Ensure Correct Account: Make sure you are logged in with your university Google Workspace account (e.g., yourNetID@university.edu). If you are logged into a personal Gmail account, switch accounts using the profile icon in the top right.

3. Use Search Bar: Click the "Search" bar at the top of the page.

4. Enter Name/Email: Start typing the name or email address of the person you are looking for.

5. Find Directory Results: Search results will appear. Contacts listed in the university directory will be displayed, often visually distinct from your personal contacts or explicitly labeled. You can also often find a dedicated "Directory" section in the left-hand navigation menu to browse or confirm search results are from the official listing.

6. View Details: Click on the contact's name in the search results to open their contact card and view their directory information (email, phone number).

 

Important Notes:

• Directory is Key: Always ensure you are looking at results labeled from the "Directory" to find official university contacts, rather than your personal saved contacts.

• Information Availability: The information displayed (phone number, title, department) depends entirely on what is available in the official university directory system and what the university has configured to display.

• Internal Use: This feature is primarily for finding contact information for current employees and students within the university community.
