BlueVolt Admin Guide - Learning Reports and Historical User Transcripts

Course Enrollment Totals Reports are the most useful tool for tracking the ongoing progress of your department or program's course assignments and completions . User Transcripts give you visibility into historical course assignments and completions. Additional reporting views, such as the Grade Book and Individual Performance view are also covered in this article.

Creating a Course Enrollment Totals Report

The Course Enrollment Totals Report is the most comprehensive, useful report in BlueVolt as of this writing (October 2021) for reviewing your department or program's course assignments and completions.

  1. Login to BlueVolt
  2. Launch the Admin Dashboard from the top-corner under Admin => Dashboard
  3. Navigate to Analytics => Training Reports => Course Enrollment Totals
  4. Evaluate the select the following options

Report Type: In most cases, you will want to choose Summary. This gives a comprehensive review of course enrollment and completion for individual learners/users.

Report Criteria Type: In most cases, you will want to choose Enrollment. This will include coursework that has not been completed whereas Completion will only show completed coursework.

Date Range: Recommended setting is to specify that your report date range be set for the 12 months unless you need a greater range of historical information. As BlueVolt is a learning management system implemented primarily for our healthcare professions, coursework most often must be completed annually or every twelve months.

User: Select your user group(s)

Categories: In most cases, you can use Select All

Select Course: In most cases, you can use Select All

Reviewing Course Completion via the Grade Book

A potentially useful way of quickly reviewing learner progress, but has no options for exporting report information or date range selection.

  1. Login to BlueVolt
  2. Launch the Admin Dashboard from the top-corner under Admin => Dashboard
  3. Navigate to Analytics => Training Reports => Grade Book

Select your Group, then select Select All for your Course Category or narrow your results to a specific category (e.g. Healthcare) depending on your needs. After choosing a course category, you will be presented with data broken down by course. You should see the number of completed, on schedule, and behind schedule statuses.

Important Note: the Grade Book totals are calculated from the entire history of a course. For example, if a learner has completed a course multiple times over multiple years, all of their enrollments will be part of the Grade Book total calculation.

Click View Detail to see a more detailed breakdown of learner performance. By clicking the column headers, you can sort this information by learner name, enrollment date, or course progress. Unfortunately, at the time of this writing (October 2021) there is no way to export this Grade Book view.

Reviewing Individual Performance via the Groups Interface

A potentially useful way of quickly reviewing learner progress, but has no options for limiting results to a specific date range.

  1. Login to BlueVolt
  2. Launch the Admin Dashboard from the top-corner under Admin => Dashboard
  3. Navigate to My University => Groups => Groups
  4. Navigate through your Group and Subgroup structure until you arrive at your destination group

Once you select the group or subgroup you want to evaluate, scroll down to Individual Performance. You should be presented with your group member names, email address, course enrollments and completions.

Important Note: this Individual Performance view is calculated from the entire history of course enrollments and completions. For example, if a learner has completed a course multiple times over multiple years, all of their enrollments and completions will be counted in this view.

You can export these results as a spreadsheet by clicking the Download icon on the left, but no additional detail is provided by this report.

Creating a Training Track Report

Training Track Reports are only useful for evaluating learner progress in coursework for that learner's first time taking coursework; Training Track Reports do not give insight into course progress when a learner has been re-enrolled in a course. However, Training Track Reports may still be a useful tool to track a new group of learners, like a new cohort of students.

  1. Login to BlueVolt
  2. Launch the Admin Dashboard from the top-corner under Admin => Dashboard
  3. Navigate to Analytics => User Reports => Training Track Progress
  4. Evaluate the select the following options

Report Type:

  • Rollup - This provides a broad overview of a learner's Training Track progress shown as a percentage of courses complete. Individual course completion records are not shown
  • Details - This provides a completion record for each course in a Training Track

Report Criteria Type: In almost all cases, you want to select Enrollment. Choosing Completion will only report only results for completed Training Tracks and courses.

Date Range: In most cases, choose Show All Dates. Your report will be better confined by reducing its scope to certain groups

Group: Choose Certain Groups, then select the learner groups you want in scope of this report

Percent Complete: The default option of "0 to 100%" will report every learner regardless of their Training Track completion status. To report only learners who have incomplete coursework, change this to "0 to 99%"

Training Tracks: Select your Training Track

 

Select Run in Browser then select Run Report. You can review the results in your web browser, then save it to multiple document types on the next screen

 

 

Scheduling a  Report

Scheduling a report is a convenient way of saving your report options and receiving email reminders to check learner progress.

  1. In the Course Enrollment Totals or Training Track Reports, you can use the Schedule Report option instead of Run Report
  2. A pop-up window should appear where you can name your report, set the frequency, and select other BlueVolt admins from your program who might want to be subscribed to your report

You (and the other recipients you specified) will receive emails on the delivery day you specified and at the frequency you specified. You can run this saved report manually, or access historical results of this report in BlueVolt later under Analytics => My Reports

 

Historical User Transcripts

Historical records of course assignments for specific users are possibly best presented in User Transcripts.

  1. Login to BlueVolt
  2. Launch the Admin Dashboard from the top-corner under Admin => Dashboard
  3. Navigate to Analytics => User Reports => Transcripts
  4. Select your group, then select the learner
  5. For Enrollment Status, change this value to All (it may default to Enrolled) to show the entire learner course history
